What is promotional products shipping software?

Promotional products shipping software is the tool that takes one client order with many recipients and produces a carrier label for each address. A promo order rarely ships to one dock. An employee gift program, a conference kit, or a branded merchandise drop can mean two hundred home and office addresses under a single purchase order. Call it promo products shipping software or branded merchandise shipping software; the job is to ship swag to multiple addresses from one list.

The job has three parts: get the recipient list in without retyping it, pick a carrier and service for each parcel, and keep the postage tied to the client job so it can be rebilled. Order entry, artwork approval, and decoration stay in your industry system. The shipping tool only handles the parcels once the goods are packed.

How do I ship one promo order to hundreds of addresses?

Save the client's recipient spreadsheet as a CSV file and import it into GoatLabels, which accepts up to 500 rows per file and creates one shipment per row. Each row carries the name, address, parcel weight and size, and your reference. A list longer than 500 recipients is split into more than one file.

Client lists are rarely clean. When a row has a missing postal code or a bad state, the importer names the row and the field instead of rejecting the file, and the other rows still go through. You fix the few flagged rows, or send them back to the client, while the rest of the employee gift shipping labels or event kit shipping labels are already printed and those kits are leaving the building.

How do I rebill shipping to the client on a promo order?

Put the client or job number in the reference column of the import, and every label on that order becomes a dated ledger line that carries it. Export the ledger, filter by the job number, and the total is the postage for that client order, parcel by parcel, ready to add to the invoice.

Labels are paid from a prepaid wallet, so there is no carrier invoice arriving weeks after the job closed. If a carrier re-weighs a parcel, the adjustment posts to the same ledger as its own line. GoatLabels has no sub-accounts or per-client balances and does not write into your order system, so the reference is what separates one client from another.

What carrier limits apply to kits and branded items?

Each carrier service has its own size and weight limits, and some branded items are restricted. USPS states that Priority Mail accepts parcels up to 70 lb and 108 inches in combined length and girth, and that most Priority Mail shipments include up to 100 dollars of insurance. A kit box usually fits; a case of drinkware may not.

Contents matter as much as size. USPS restricts some items in the mail, which can be relevant to power banks, speakers, and other products with batteries, and to some liquids such as hand sanitizer. Check the carrier's restriction page before you quote a job. GoatLabels does not offer hazmat or regulated-goods services.

When is this the wrong shipping software for promo products?

It is the wrong choice if you need someone else to kit, store, or pack the goods, or to collect addresses from recipients, because GoatLabels does none of those. It buys and prints parcel labels from a list you already have. It is parcel only, so pallets of goods going to an event venue by LTL or freight need a different tool.

It also does not fit if you must ship on a client's or supplier's carrier account, since you cannot add your own or anyone else's carrier accounts or negotiated rates. Distributors who want a redemption page, inventory held for a program, or one invoice that covers product and fulfillment are better served by a kitting or fulfillment provider.
