Sample shipping software is a shared tool that lets sales, marketing, and field teams buy parcel labels for product samples, demo units, swatch kits, and trade show materials, and records who sent what and what it cost. It replaces the habit of each rep walking a box to a carrier counter and filing the receipt later.
Shipping software for sales samples has a small but specific job. Someone needs to turn a prospect's address into a label without retyping it, pick a sensible carrier, and leave a record that finance and sales operations can read. If the tool also needs to hold inventory and assemble kits, that is a fulfillment service, not label software.
Put a reference on every label and total the ledger by that reference. In GoatLabels each label debits the quoted amount from the prepaid wallet and writes a dated ledger entry that carries the reference you entered, such as a rep's initials, a campaign code, or an account name. A carrier re-weigh adjustment posts to the same ledger.
Sales sample shipping cost tracking only works if the team agrees on a format first. Pick one pattern, for example rep, then campaign, then account, and use it on every send. Then a ledger export sorted or filtered by reference gives sample spend per rep, per campaign, or per prospect account without collecting receipts or reading card statements.
Yes, by copy and paste. A rep copies the contact's address block from the CRM record or the prospect's email and pastes it into the in-app assistant, which drafts the label for the rep to review, rate-shop, and buy. GoatLabels has no CRM connector, so nothing syncs from or writes back to the CRM on its own.
For a campaign send, export the recipient list from the CRM as a CSV and import it. The bulk importer takes up to 500 rows per file, names the row and field of any error, and does not fail the batch over one bad row. Tracking numbers can then be pasted or imported back into the CRM by whoever owns the campaign.
There is no single answer, so compare the quotes on each parcel. GoatLabels shows USPS, UPS, FedEx, and DHL together with one all-in number per carrier, and the rep picks by price and service. USPS says Priority Mail includes up to 100 dollars of insurance with most shipments and accepts parcels up to 70 lb and 108 inches in combined length and girth.
Check the contents before you send. USPS restricts some items in the mail, so samples with liquids, batteries, or similar contents need a look at the carrier's rules first. GoatLabels does not offer hazmat or regulated-goods services. As demo unit shipping software it has one more limit: a loaner worth more than the included cover needs its value handled separately.
It is the wrong choice if you want someone else to store your samples, assemble kits, and send them on request, because GoatLabels does no storage or kitting. It is also wrong if sends must be triggered inside your CRM, since there is no CRM connector, or if each rep needs a separate balance, since there are no sub-accounts.
It is parcel only. Trade show shipping labels for a box of brochures or giveaways sent ahead to the venue are fine; booths, pallets, and crates that move as freight need a freight carrier or the show's logistics provider. There is no phone support, SSO, or SLA. GoatLabels fits teams that keep samples on a shelf, pack their own boxes, and want one wallet and a clean record of what each send cost.
